Administrative Coordinator Job Description

Milele Motors FZE is seeking an experienced Administrative Coordinator to oversee various administrative tasks and ensure smooth day-to-day functioning of our offices and showrooms in Dubai.

Key Responsibilities:
  • Administration: Source and inquire about new office, showroom, yard, and warehouse spaces; manage Etisalat and Dewa bills, and track and manage Dubai Police fines for fleet vehicles.
  • Dubai Government-Related Tasks: Renew leases and licenses for Milele Group, including PO Box, tenancy contracts, Ejari, and establishment card renewals.
  • Consultancy Support: Secure various types of visas for staff and Board of Directors, and handle comprehensive travel logistics, including flight bookings and hotel arrangements.
  • Maintenance & Vendor Coordination: Source vendors and negotiate quotations for maintenance, renovation, and expansion projects; follow up with finance for timely payments and manage projects.
  • Procurement & Office Supplies: Handle procurement of stationery, office furniture, supplies, and maintenance items, and manage printing needs such as business cards and brochures.
Requirements:
  • Bachelor's degree in business administration, facilities management, or a related field.
  • Certification in Project Management or Office Management is a plus.
  • 2-4 years of experience in office administration, facilities management, or a similar role.
