Key Responsibilities of the Role

Preparation for VIP Arrivals:

  • Organize and prepare for VIP arrivals for the current and upcoming days, ensuring that all guest preferences are recorded and rooms are allocated appropriately.

Management of Amenities:

  • Oversee the distribution of amenities in the Rooms Division, ensuring they are placed in rooms prior to guest arrivals and tracking usage to manage costs effectively.

Communication and Coordination:

  • Maintain effective communication with various departments, including Housekeeping, Engineering, and In-Room Dining, to ensure timely delivery of amenities and to address any issues related to VIP accommodations.

Documentation and Reporting:

  • Prepare detailed reports for hotel management regarding VIP guests scheduled for arrival, providing essential information and preferences to enhance their stay.

Operational Efficiency:

  • Utilize the Opera system proficiently for tasks such as updating pre-arrival communication, managing traces, and accurately maintaining guest profiles. Additionally, handle special projects and tasks assigned by management to ensure the department operates smoothly and meets deadlines.
