Job Summary
We are currently recruiting for a Facilities Coordinator – Emiratisation to be based out of our Dubai office. The successful candidate will provide a comprehensive financial and administrative service to our client.
Key Responsibilities
- Customer Service
- Understand, anticipate and deliver customer needs while building effective relationships.
- Positively respond to both internal and external customers through effective communication and personal accessibility.
- Financial and Administrative Tasks
- Ensure that sales invoices are raised in a correct and timely manner.
- Ensure that Extra Works jobs are raised, billed and closed in a timely manner at the correct gross margin.
- Raise purchase orders in line with company requirements.
- Assist the Contract Manager in the management of WIP and debt.
- Facilities Management
- Understand the contract, including scope and terms & conditions.
- Assist the Facilities Manager in ensuring compliance with Health & Safety requirements, including H&S reporting and promoting a safe working environment.
- Manage helpdesk and asset management systems.
- Maintain on-site personnel records, including training matrices, holiday and sickness records, and timesheets.
- Reporting and Analysis
- Assist with monthly Client reporting.
- Work with the Facilities Manager to improve the financial standards of the contract, measured against monthly key performance indicators.
- Continuous Improvement
- Achieve results within quality and time restraints.
- Perform with an understanding of business requirements and changes, and ensure continuous improvement.
- Convey messages and ideas clearly and openly, involve people and influence decisions.
- Contract Management
- Issue FM Agreements to Suppliers and negotiate cost savings.
- Review sub-contractor performance and understand the contract scope.
- Ensure Policy & Procedure compliance.
Requirements
- National with a family book.
- At least a year's experience in a similar role.
