Key Responsibilities
  1. Invoice Management: Work closely with the Vendor Invoice Management (VIM) solution to process invoices, manage vendor relationships, and ensure timely payment.
  2. Training and Maintenance: Assist in the training and maintenance of VIM, ensuring that all users are proficient in its use and that the system is up-to-date.
  3. Open POs and Reconciliation: Review open purchase orders and reconcile them against general ledger and accounts receivable records.
  4. PO Creation and Management: Create and manage open purchase orders, ensuring that all necessary documentation is complete and accurate.
  5. GRNI Receipting and Reconciliation: Process and reconcile goods received not invoiced (GRNI) transactions, ensuring that all necessary documentation is complete and accurate.
  6. PO Template Maintenance: Maintain and update purchase order templates to ensure compliance with company policies and procedures.
  7. Invoice and T&E Booking: Ensure that all invoices and travel and entertainment expenses are booked and paid in a timely and accurate manner.
  8. Inter Company Debit/Credit Notes: Raise and book inter company debit/credit notes, ensuring that all necessary documentation is complete and accurate.
  9. ICO Maintenance: Maintain inter company accounts, including monthly confirmations, allocations, and postings, and reconcile discrepancies.
  10. Expense Classification: Ensure that all expenses are classified correctly to accurately reflect the nature of the expenses.
  12. Supplier/Distributor Statement Reconciliation: Perform and review monthly supplier/distributor statement reconciliations and ageing analysis, investigating and resolving any discrepancies.
  13. Bank General Ledger Allocation: Support the Treasury Team by allocating and clearing all bank general ledgers.
  14. General Ledger Support: Support the General Ledger Team in clarifying OPEX variances.
  15. Reporting: Prepare, review, and submit all reports to stakeholders as required, and provide additional reports to management as needed.
  16. Internal Controls: Assist in ensuring the existence and adherence of internal controls across all entities.
  17. Point of Contact: Serve as the point of contact for all AP-related issues for designated entities.
  18. Special Projects: Take on special projects as assigned, and assist the team during internal and external audits.
Requirements

To be successful in this role, you will need:

  • A Bachelor's degree or equivalent in Accounting or a related field.
  • Professional certification in accounting, such as CA, will be given preference.
  • Mandatory proficiency in Spanish or Portuguese language.
  • 3-5 years of experience in a similar role, with a strong background in accounting and financial transactions.
  • Experience working in a competitive environment, with the ability to handle pressure and meet deadlines.
  • Strong technical skills, including knowledge of ERP implementation, Microsoft Office packages, and BI tools/SAP.
  • Experience with VIM/RPA will be an asset.
