- Toprovide service that is sincere warm and enthusiastic ensuring theemployees satisfaction in order to make a professional firstimpression of the Talent & CultureDepartment
- To provide support to the Talent& Culture/Learning & Development team whilstmaintaining strict confidentiality of information at alltimes
- Have a thorough understanding of Talent& Culture and Learning & Development policies andprocedures and be able to provide up to date information and promptanswers to employee and candidate queries
- Totake the time to get to know the employees and to be committed toservice excellence
- To be entrepreneurial and tothink beyond the boundaries is expected and notrequested
- To prioritise tasks and manageemployees expectations in busy workenvironment
- Possess advanced knowledge ofMicrosoft Officesystems
KeyDeliverables andResponsibilities
Planning&Organizing:
- To organiseemployee events including birthday celebrations national daysemployee parties activities sports teams and lifestyleclasses.
- To regularly update the communication& ACE of Heartists boards for all employees and assist withthe implementation and communication of all hotel policies andprocedures throughnoticeboards.
Operations:
- Toprepare name badges and ID cards and any replacementsrequired.
- Process ticket bookings for new hiresvacations business trips and leavers as perpolicy.
- Manages the application and deletion ofMedical Insurance Workmans Compensation and LifeInsurance.
- Manages the Probation Evaluation& Confirmation by sending the evaluation forms on time andfollowing up with leaders for completion. Organising interviewswith Director of Talent & Culture & issuing theconfirmation letter.
- Creates Disciplinaryletters and schedules meetings with Director of Talent &Culture as directed.
- Owns the Cafeteriaoperations ensuring upkeep cleanliness and availability ofconsumables in the cafeteria.
- Maintainsaccurate stock and inventory of cafeteria locker room and HeartistHub items.
- Overlooks the upkeep of Heartist HubT&C Store and file room
- Keeps theTalent & Culture/Learning & Development Office andTraining Room tidy.
- Orders stationarydecorations and other items as required.
- AssistLearning & Development Manager by preparing IMRs andcertificates of completion.
- Schedule exitinterviews with Learning & Development Manager and DirectorTalent & Culture.
- Complete the Exitformalities as per the checklist for all leavers and ensuring alldocuments are in place.
- Has an environmentallyfriendly approach to use of energy and paper in theoffice.
Administration:
- Toprovide administrative support to the Director of Talent &Culture and Learning & DevelopmentManager.
- To raise expense reports and PRs forall Talent & Culture expenses including cafeteria staffevents payment of utilities accommodation and miscellaneousorders.
- To file all employee related documentscorrectly & efficiently on an ongoing basis and own thefiling system.
- Maintains an accurate filingsystem for all Talent & Culture Office communications likememos all Talent & Culture related AMCs voting slips andother general documents.
- Submits andcoordinates the successful filing and payout of employee insuranceclaims.
- Prepare letters for employees asrequested (eg. bank letters embassyletters)
- Participate in the weekly Heart of theHouse WalkAround and Accommodation Checks.
- Anyother duties and tasks assigned by Director of Talent &Culture.
Qualifications:
Qualifications
- Previousexperience in Human Resources and/or the Hospitality Industry isessential and preferred
- Knowledge ofSmartrecruiter or similar automated Talent AcquisitionSystems is considered an asset.
- Proficiency inMicrosoft Office Suite is required.
- A degree inHuman Resources or Hospitality Management from a University orCollege is preferred.
- Exceptional interpersonalcommunication and organizational skills arenecessary.
- Strong problemsolving capabilitiesand a high degree of responsibility andreliability.
- Acute attention to detail with theability to remain composed and focused.
- Provenability to work collaboratively within a team and address employeeneedseffectively.
