Key Responsibilities:

  • Operational Management: Manage day-to-day operations, workflow, and administrative tasks to ensure seamless delivery of services.
  • Communication and Correspondence: Prepare and compose correspondence, documents, and reports as directed, maintaining a professional tone and format.
  • Administrative Support: Manage incoming and outgoing mail, faxes, and email, including filing, copying, scanning, and registration. Maintain a well-organized filing system and ensure timely processing of documents.
  • Calendar and Scheduling: Maintain a calendar, schedule meetings, conference calls, and appointments, and manage meeting room bookings and catering as necessary.
  • Front of House Services: Manage front of house services, including greeting and announcing visitors, coordinating security procedures, and issuing visitor passes and validating parking where applicable.
  • Administrative Tasks: Assist the FM&A team with administrative tasks, including conducting research, updating databases, and providing general administrative support.
  • Facilities and Maintenance: Maintain a neat appearance of the reception area, conference rooms, staff areas, and other common areas, requesting building and housekeeping services as needed and periodically inspecting common area equipment to ensure good operating condition.
  • Ad Hoc Requests: Deal with ad hoc requests and routine administrative tasks using the appropriate tools, being involved with KEOKares.
