Executive Assistant to General Manager

**About the Role**:
**Responsibilities**:
- Strategically manage the General Manager’s calendar by scheduling meetings, coordinating appointments, and arranging comprehensive travel itineraries.
- Prepare high-quality reports, presentations, and documentation tailored for internal and external stakeholders.
Ensure the General Manager is well-prepared for all meetings by providing relevant materials, insights, and briefings in advance.
Act as a liaison between the General Manager and internal/external stakeholders, maintaining clear and effective communication channels.
- Facilitate interdepartmental coordination to align with the General Manager’s strategic objectives.
- Draft, proofread, and finalize professional correspondence to ensure accuracy, consistency, and alignment with the company’s tone and standards.
- Plan and oversee logistics for meetings, events, and conferences, including agenda preparation, minute-taking, and post-event follow-ups.
- Monitor and track key deliverables, projects, and deadlines to ensure timely and efficient execution.
- Conduct research and compile data to provide actionable insights for decision-making and strategic planning.
- Maintain a robust system for managing confidential files, contracts, and records to ensure easy access and security.
- Optimize administrative workflows by overseeing procurement of office supplies, vendor coordination, and other operational processes.
- Identify opportunities for process improvements to enhance organizational efficiency and streamline daily operations.

**Requirements**:
- Bachelor’s degree in Business Administration, Communications, or a related field preferred.
- Minimum 3+ years of experience in a similar role, supporting senior executives or general managers.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent verbal and written communication skills in **English & Russian.**
- Strong organizational and multitasking abilities.
- High level of professionalism, discretion, and confidentiality.
- Excellent problem-solving and decision-making skills.
- Strong interpersonal skills with the ability to build relationships at all levels.
