ManpowerGroup Middle East is seeking an experienced Administrative Coordinator to support our operations in Dubai, UAE.

The successful candidate will play a vital role in maintaining the smooth operation of our office by providing administrative assistance and ensuring efficient communication across departments. This position requires strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously.

The key responsibilities of this role include:

  • Administrative Tasks
    • Manage phone calls, emails, and other correspondence to ensure timely responses.
    • Organize meetings, appointments, and travel arrangements for the team.
    • Prepare reports, memos, invoices, letters, and other documents as required.
    • Maintain filing systems for easy retrieval and archiving.
    • Assist with office management tasks, including ordering supplies and managing equipment.
    • Coordinate internal communication to ensure prompt information distribution.
  • HR Support
    • Support the onboarding process for new employees, including paperwork and workspace setup.
    • Contribute to the offboarding process for exiting employees.
    • Collaborate with IT for employee access setup.
    • Work closely with HR to update employee documents and assist with immigration.
    • Help set up employee insurance.
  • Finance Management
    • Handle petty cash transactions for the company.
    • Assist with administrative tasks related to company documents, insurance policies, and banks.
  • Paralegal Support
    • Handle KYC-related documents and certifications, working closely with legal counsel.
    • Renew company licenses.
    • Maintain the legal filing system.
    • Support certificate issuance, register updates, and share transfers.

This role requires a high school diploma or equivalent, along with additional qualifications as an Administrative Assistant. Proven experience in a similar field, proficiency in Microsoft Office Suite, and excellent communication skills are essential.
