Job Summary

We are seeking a highly skilled and experienced Administrative Operations Coordinator to join our team at Servochem Pharma. The successful candidate will be responsible for providing administrative support to our top management and general office, ensuring the smooth operation of our administrative procedures.

Key Responsibilities
  1. Administrative Support: Provide administrative support to top management and the general office, including maintaining agendas, planning appointments, and coordinating meetings.
  2. Record Keeping: Maintain electronic and paper records, ensuring information is organized and easily accessible.
  3. Communication: Possess excellent communication skills, both written and verbal, and be proficient in word processing, creating spreadsheets, and presentations.
  4. Confidentiality: Handle confidential documents, ensuring they remain secure.
  5. Office Management: Renew and manage office licenses, trade licenses, and third-party contracts.
  6. Government Compliance: Process company's legal documentation, employee visa renewals, and other government compliance/renewals.
  7. Supply Chain Management: Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders.
  8. Travel Arrangements: Make travel arrangements for executives, including flight, hotel, and visa booking.
  9. Employee Onboarding: Make arrangements for new employees, including seating, PC, access cards, etc.
  10. Facilities Management: Oversee facilities management of company branches, warehouses, and accommodations.
  11. Custom Clearance: Handle custom clearance for imports and exports, and create custom documents BOE for material inward and outward.
  12. Real Estate Management: Renew and manage company's real estate-related matters, including contract preparation, cheque management, ejari/registration, and termination.
Requirements
  • Education: Graduate in any discipline.
  • Age: 30-40 years.
  • Gender Preference: Male/Female.
  • Technical Skill Set: Computer proficient.
  • Work Experience: Minimum 3 years (preferably in Gulf countries).
  • Language Skill Set: Fluency in English (spoken and written).
  • Other Attributes: Self-motivated individual with a pleasant personality.
