Key Responsibilities:

  1. Administrative Support: Serve as the main point of contact for all administrative needs of the Program team, ensuring all required documentation and authorizations are properly managed.
  2. Travel Coordination: Coordinate travel arrangements for project team members, including gate passes and other logistical requirements.
  3. Vendor Liaison: Liaise with vendor and contractor administration teams to organize site visits, meetings, and other activities necessary for project completion.
  4. Meeting Coordination: Arrange and facilitate meetings with internal and external stakeholders, including venue booking and refreshments if necessary.
  5. Project Support: Provide administrative support across multiple projects under the Program, assisting various project managers and their teams as needed.
  6. Onboarding: Manage the onboarding and induction process for new team members.
  7. Reporting: Compile and submit manpower requests for management approval.
  8. Process Improvement: Continuously monitor and suggest improvements to enhance the quality of processes and administrative tasks, using feedback and data.

Requirements:

  • Education: High school diploma or vocational certification.
  • Experience: Minimum of 7 years in a similar administrative role.
  • Skills: Strong administrative and organizational skills.
  • Language: Proficient in both written and spoken English.
  • Software: Excellent knowledge of Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Cultural Competence: Capable of working effectively in a multicultural environment.
  • Driving License: Possession of a valid UAE driving license.
