As a key member of our team, you will provide exceptional customer service to our visitors, contractors, and customers. Your role will involve maintaining a professional and welcoming reception area, answering phone calls, and performing various administrative tasks as required.
- Ensure a smooth and efficient experience for all visitors, contractors, and customers.
- Record and manage visitor information, including sign-in and sign-out procedures.
- Direct visitors to staff members and ensure they are escorted to meeting rooms as needed.
- Administer routine meeting arrangements, security badge issuance, and collection for visitors.
- Direct deliveries to the corporate mail room and notify addressees for collection.
- Maintain the reception area to the highest standards of cleanliness and corporate image.
- Facilitate effective communication by handling incoming phone calls and connecting callers to the appropriate department or extension.
- Take and pass on messages as requested.
- Manage international calls and maintain records of such calls.
- Report any Bio Matrix Finger Print Access Control System failures to the Security Manager.
- Maintain a high level of security awareness in and around the reception and lift lobby areas.
- Coordinate the planning and booking of meeting and conference rooms.
- Respond professionally and discreetly to public inquiries, adhering to company policies and procedures.
- Ensure the reception area is never left unmanned.
Key Requirements:
- High school diploma or equivalent, with a diploma in secretarial practice preferred.
- Minimum 2 years of experience as a receptionist.
- Fluency in both spoken and written English; knowledge of Arabic is a plus.
- Proficiency in MS Office packages and administrative functions such as courier mail, ticketing, and hotel reservations.
- Strong organizing and coordinating skills, with the ability to make administrative and procedural decisions.
- Excellent records maintenance and word processing skills.
- Good communication and interpersonal skills, with the ability to work effectively with others.
