Job Title : Admin/Document Controller (Construction) (Lady Preferred)
Experience : 3 - 6 years
Qualification : Bachelor degree in English, communication, Business Administration
**Responsibilities**:
- Proficient in MS Office. Receiving, distributing, and maintaining necessary records of all incoming and outgoing documents, indexing.
- Related work experience in office work, documentation, and control knowledge of Engineering disciplines like Civil, Mechanical, Electrical, etc., is preferable
- Coordinate all activities related to the submission of Project related Procedures, Plans, Drawings and Correspondences to the Client and Other Parties involved in the Project;
- Review and maintain the accuracy of the records, editing where necessary to ensure they are up to date.
- Generate the various document control reports as per project requirement;
- Prepare site documents, and follow up of all the site needs;
- Makes sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors, and suppliers as applicable;
- Maintain updated records of all approved documents and drawings and their distribution clearly;
- Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability;
- Maintain the files and control logs as required by the project;
- Responsible for coordinating with all departments of the company to assure that all documents are kept in the right place and in the right department file archive;
- Update documents that have typographical errors and other types of errors that may lead to the disqualification of a document;
- Participate in QA audit on Project documents to ensure that all documents are properly submitted to other departments;
- Responsible for file validation and document controlling. Before submitting a document, a document or file must first be checked and approved and ensure that all files submitted are approved by the superior in charge;
- Effectively follow the Project Document Control Procedure in submissions of documents;
- Submit Project Deliverables punctually and with quality;
- Ensures that all documents have no errors in filenames, submissions, etc., before submitting it to the next department to avoid confusion;
- Familiarity with the relevant regulations regarding document keeping and handling.
