Office Administration Assistant

**Orders & LPOs (with Sales, Factory & Logistics teams)**:
- Check data accuracy in orders and invoices
- Contact clients to obtain missing information or answer queries
- Ensure the accurate log of each order in BAFI ordering system
- Maintain & update the Monthly Ordering Log (confirmed orders, tentative orders, production dates, delivery dates, shipping dates)
- Handle all daily request for quotation from customers & sales team
- Working with costing department to get the prices and prepare quotations
**Payments & Credit Management (With Finance & Sales teams)**:
- Process Credit forms for local customers
- Prepare Monthly Collection Targets (Local & Export Customers
- Weekly update the Monthly Collection Targets status report
- Daily update Customers’ Credit Status Report (Overdue, above limit & Blocked customers)
**Customer Service**:
- Liaise with Logistics to ensure timely sample deliveries.
- Declare information with courier company to receive goods/samples/document in oversea
- Coordinate orders delivery & shipping dates
**Sales Management**:
- Maintain and update sales and customer records
- Develop monthly sales weekly & monthly reports
- Consolidate Monthly Forecast Report (with Sales team)
- Manage the weekly/monthly Stock & Movement (Sell in/out) reports for agents & distributors
**Van Sales Team**:
- Daily customer invoicing
- Manage customers’ records & credit forms update
- Perform a Weekly stock take with Van sales reps
- Manage & coordinate daily Van sales reps orders
- Manage Weekly & Monthly trips (with Sales supervisor)
- Facilitate the earliest Van sales daily staring time
- Consolidate Monthly Sales & KPI targets for the team
- Prepare Weekly & Monthly Sales & KPIs report
- Daily update Customers’ Credit Status Report (Overdue, above limit & Blocked customers)
**Other ad hoc tasks assigned by Line manager.**
