A **Secretary cum Accounting Assistant** is a dual-role position that involves both administrative duties and accounting support. This role requires organizational, communication, and basic accounting skills to assist in managing office operations and financial records.

**Key Responsibilities:Secretarial Duties**:

- **Administrative Support**:

- Prepare and distribute internal memos, meeting agendas, and minutes of meetings.
- Organize and maintain physical and digital files, ensuring easy retrieval of documents when required.
- Coordinate travel arrangements, appointments, and meetings for executives and staff.
- **Reception Duties**:

- Act as the first point of contact for visitors, clients, and vendors, both in-person and over the phone.
- Handle incoming calls, direct inquiries to the appropriate department, and take messages when necessary.
- **Documentation**:

- Draft and proofread documents, reports, presentations, and contracts.
- Maintain proper filing systems for correspondence, invoices, and other important records.
- **Office Coordination**:

- Assist in planning and organizing company events, meetings, or conferences.
- Ensure the office environment is tidy, professional, and well-stocked with necessary supplies.

**Accounting Assistance**:

- **Bookkeeping**:

- Maintain accurate records of financial transactions, including accounts payable, accounts receivable, and general ledger entries.
- Process invoices, receipts, and payments, ensuring they are recorded correctly in accounting software.
- Reconcile bank statements, verify discrepancies, and resolve accounting issues.
- **Data Entry**:

- Input financial data into accounting systems, ensuring accurate and timely updates.
- Assist in preparing monthly, quarterly, and yearly financial reports.
- **Payroll Assistance**:

- Support the payroll process by collecting and verifying employee timesheets and ensuring timely payment to staff.
- Maintain accurate payroll records and assist with employee expense reimbursements.
- **Financial Reporting**:

- Assist with the preparation of financial statements, budget reports, and balance sheets.
- Provide support during audits by ensuring all necessary financial documents are organized and available.
- **Petty Cash and Expenses**:

- Handle petty cash transactions and keep records of expenditures.
- Review and process employee expense reports, ensuring compliance with company policies.
- **Tax Filings**:

- Assist with the preparation and filing of tax documents, including VAT, sales tax, and income tax filings, under the supervision of the accountant.

**Qualifications**:

- High school diploma or associate’s degree in accounting, business administration, or a related field.
- Proven experience as a secretary or accounting assistant.
- Proficiency in office software (MS Office) and accounting software (e.g., QuickBooks, Xero, or similar).
- Excellent organizational, multitasking, and communication skills.
- Basic understanding of accounting principles and financial reporting.
- Attention to detail and a high level of accuracy in handling financial records.

**Key Skills**:

- Time management and ability to prioritize tasks.
- Strong attention to detail for both administrative and financial duties.
- Ability to maintain confidentiality, especially when dealing with financial data.
