Executive Secretary to CEO

The Executive Secretary to the CEO provides high-level administrative support to the Chief Executive Officer. This role requires exceptional organizational skills, discretion, and the ability to handle confidential information. The Executive Secretary will manage the CEO’s calendar, coordinate meetings, and handle communications to ensure the smooth operation of the executive office.
**Key Responsibilities**:
- **Calendar Management**:
- Schedule and coordinate appointments, meetings, and travel for the CEO.
- Organize and maintain the CEO’s calendar, ensuring efficient use of time and avoiding conflicts.
- Prepare agendas and materials for meetings and brief the CEO on upcoming events.
- **Communication Handling**:
- Draft, proofread, and edit communications on behalf of the CEO.
- Serve as a point of contact between the CEO and internal/external stakeholders.
- **Meeting Coordination**:
- Arrange and coordinate meetings, conferences, and events, including logistics and follow-up.
- Take and distribute minutes for meetings and ensure timely follow-up on action items.
- **Travel and Expense Management**:
- Arrange travel itineraries, accommodations, and transportation for the CEO.
- Process expense reports and ensure all expenditures are properly documented and within budget.
- **Confidentiality and Discretion**:
- Handle sensitive and confidential information with the utmost discretion and integrity.
- Maintain confidentiality regarding business and personal matters.
- **Document Management**:
- Prepare and organize reports, presentations, and other documents as required.
- Ensure accurate and efficient filing and retrieval of documents and records.
- **Administrative Support**:
- Provide general administrative support, including office management tasks.
- Assist with personal tasks as required by the CEO.
- **Project Assistance**:
- Support special projects and initiatives as directed by the CEO.
- Conduct research and compile data for various projects.
**Qualifications**:
- **Education**: Associate’s degree or higher in Business Administration, Management, or a related field; a bachelor’s degree is preferred.
- **Experience**: Minimum of 5 years of experience in an executive administrative role, with a proven track record of supporting senior executives.
- **Skills**:
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
- Ability to handle multiple tasks simultaneously and work under pressure.
- High level of discretion and confidentiality.

This role is essential for ensuring that the CEO’s activities are well-coordinated and that the executive office operates smoothly and efficiently.
Pay: AED3,000.00 - AED4,000.00 per month
