Secretary to The CEO/office Manager

Secretary to CEO ( Female Preferred)
1. Should have 4-5 years UAE experience in similar role in a MEP Contracting company
3. With strong personality
4. Communicate and liaise with Project Teams, Suppliers/3rd parties. Effectively and accurately communicate relevant project information to the Management & project team
5. Monitor technical documents review and approval in accordance with agreed plan schedule
6. Monitoring of documentation progress in cooperation with the project in-charge
7. Maintain updated records of all approved documents and drawings and their distribution clearly.
8. Ensuring the use of standardised forms and templates
9. Set-up Projects folders and facilitate Project communication process
10. Strict follow -up on overdue documents and planned submissions for WIR, Letters, Shop Drawings, Material Submittals, etc)
11. Rigid follow-up to all sites for status of project documents WIR, Letters, Shop Drawings, Material Submittals
12. Strong Knowledge in Closed Out documentation procedures
13. Strong verbal skills to communicate with Suppliers and other entities
14. Ability to handle site team & obtain results as needed.
15. Establish and maintain the Master Document Register in cooperation with the Project team.
16. Process outgoing project documentations
17. Maintain and manage electronic and hard copy documents as required
18. Makes sure that controlled copies of latest approved documents and drawings are
19. Maintain updated records of all approved documents and drawings and their distribution clearly.
20. Managed proper issue of all technical documents, for reference purpose to the Management Staffs and other Technical staff within the company based on the demand
21. Safe custody of company letter head, stamps, Original Contract documents / Agreements of
all Projects & Confidential files.
22. Maintain the documents under safe custody without any damage or deterioration with easy traceability.
23. Manage all flows of documents either in electronic form or on paper support
24. Ensure Document Management accordingly to established procedures or standards
(documents numbering, formats, issuance, review, recording and archiving)
25. Other ad hoc Secretarial functions and other works assigned from time to time.
