Female Administrative Assistant to The CEO

**Position Summary**
**Key Responsibilities**
- **CEO Task Management**:
- Manage and prioritize the CEO's daily agenda, ensuring meetings, calls, and deadlines are organized efficiently.
- Prepare meeting agendas, take minutes during meetings, and follow up on action items.
- Ensure all tasks assigned by the CEO to team members are followed up on and completed, providing regular updates to the CEO.
- Serve as the main point of contact between the CEO and the team to ensure clear communication and that all of the CEO's requirements are being met.
- Track progress on key projects and provide status updates to the CEO, ensuring timely completion of tasks.
- **Office Management**:
- Organize the office and ensure smooth daily operations, including managing office supplies and equipment.
- Assist with organizing travel, appointments, and other logístical needs for the CEO.
- **Administrative Support to the CEO**:
- Provide comprehensive support to the CEO by drafting and reviewing documents, reports, and presentations.
- Assist with document management, both digital and physical, ensuring quick access to business materials.
- Help prioritize the CEO's workload by organizing tasks based on urgency and business needs.
- Manage personal and professional calendars, ensuring the CEO is well-prepared for meetings, events, and deadlines.
- **Team Workflow & Coordination**:
- Work closely with the team to ensure that all tasks assigned by the CEO are executed effectively and on time.
- Follow up on the team's progress regularly and communicate any challenges or delays to the CEO.
- Help improve workflow and communication among team members by identifying bottlenecks and proposing solutions to optimize efficiency.
- Serve as a liaison between the CEO and the team to keep everyone aligned on priorities, deadlines, and company objectives.
- **Customer Service Assistance**:
- Respond to client inquiries and assist in scheduling private appointments at the studio.
- Provide administrative support related to online orders, customer payments, and follow-up communication.
- **Event & Pop-Up Support**:
- Assist the CEO in planning and organizing pop-up shops, exhibitions, and events, coordinating logistics with venues and vendors.
- Help prepare product displays and ensure seamless execution of events.
- **Vendor & Partner Coordination**:
- Communicate with vendors, partners, and department stores to manage consignment agreements and orders.
- Ensure accurate documentation of agreements and transactions, coordinating payments and deliveries.
- **Inventory and Product Management**:
- Assist in managing product inventory on sales platforms like Shopify.
- Monitor stock levels, update the CEO, and help coordinate product availability for client appointments and events.
**Requirements**:
- Previous experience as an Administrative Assistant or in a similar role, supporting senior executives or management.
- Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines.
- Strong written and verbal communication skills in English.
- Proficiency in office management software (Microsoft Office, Google Suite) and online platforms (Shopify, etc.).
- Strong ability to work independently and maintain a high level of professionalism.
- Ability to manage sensitive information with discretion and integrity.
**Salary & Benefits**
- Starting salary: AED 2500 per month.
- Company benefits include health insurance and visa sponsorship.
Pay: From AED2,500.00 per month
