CEO Assistant

**Responsibilities**:
- Assist the CEO with daily administrative tasks, including managing a dynamic calendar, completing expense reports, preparing correspondence, and arranging complex travel plans, itineraries, and meeting agendas.
- Serve as the primary point of contact between the CEO and internal staff, coordinating logistics for high-level meetings both within the organization and with external partners.
- Communicate directly and on behalf of the CEO with Board members, donors, foundation staff, and other stakeholders regarding programmatic initiatives and other matters as directed.
- Draft reports, solicitation letters, proposals, and coordinate both oral and written communication with donors and prospects.
- Provide administrative support to the HR Director, including assisting with recruitment tasks, document formatting, survey setup, and other HR-related administrative duties.
- Manage Board activities, including organizing semi-annual Board meetings, staff lunches, Board member orientations, and other related events.
- Arrange hotel accommodations and other travel logistics for out-of-town Board members, and compile and distribute Board meeting materials.
- Coordinate meetings for the Executive, Finance, Governance & Nominating, and Audit Committees, maintain confidential files, and support both on-site and off-site meetings, conferences, and committee activities aligned with the CEO’s agenda.
**Job Requirements**:
- Bachelor’s degree in Business Administration, Communications, or a related field.**:
- 3-5 years of proven experience as an Executive Assistant, Personal Assistant, or similar role.
- Experience working in fast-paced environments with high levels of responsibility.
- Excellent proficiency in both written and verbal English and Arabic.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management tools (e.g., Google Workspace, Zoom, Slack).
- Familiarity with calendar management, travel coordination, and expense tracking software.
- Excellent written and verbal communication skills with the ability to draft professional correspondence and communicate clearly with internal and external stakeholders.
- Strong organizational and multitasking abilities to manage complex schedules, prioritize tasks, and meet deadlines.
- Proven ability to manage time effectively and handle multiple priorities simultaneously while ensuring the CEO’s schedule remains efficient.
- Strong interpersonal and relationship-building skills with the ability to work collaboratively with people at all levels, including board members, clients, and senior leadership.
- Resourcefulness and quick decision-making skills to address unexpected issues and provide solutions in a timely manner.
- Experience arranging complex travel itineraries, including international travel, and handling logistics such as accommodations and transportation.
- Experience organizing high-level meetings, board activities, conferences, and corporate events.
- Flexibility to work outside of normal business hours when needed, accommodating the CEO's schedule and demands.
Pay: AED10,000.00 - AED15,000.00 per month
