**Front Office cum Business Support **Executive
We are looking for a versatile Front Office Executive who will take on a multifaceted role encompassing front office duties, sales support, as well as responsibilities in HR and Finance. This position requires a proactive and organized individual capable of managing various tasks efficiently and with a customer-focused approach.
**Key Responsibilities**:
- Stakeholder Management
- Data Analytics and Reporting
- Problem Resolution - Notify appropriate personals about any urgent matters.
**Front Office Duties**:
**Reception**:Greet and assist visitors, clients, and employees in a professional and courteous manner.
**Phone Management**:Handle incoming calls, redirect them to the appropriate individuals, and take messages when necessary.
**Visitor Assistance**: Provide information, directions, and a welcoming atmosphere to all visitors.
**Mail Handling**:Manage incoming and outgoing mail and packages.
**Scheduling**: Schedule appointments, meetings, and conference rooms as needed.
**Office Supplies**: Monitor and maintain office supplies and inventory.
**Front Office Appearance**: Ensure that the front office area is neat, organized, and visually appealing.
**Sales Support**:
**Sales Assistance**:Provide administrative support to the sales team, including preparing sales materials, maintaining customer records, and assisting with sales inquiries.
**Order Processing**: Process customer orders, verify order accuracy, and coordinate with the sales and logistics teams for timely delivery.
**Customer Relationship Management (CRM)**: Update and maintain customer information in the CRM system.
**Sales Reports**: Generate sales reports and assist in tracking sales performance.
**Human Resources**:
**Onboarding**:Assist in the onboarding process for new employees, ensuring they have the necessary paperwork and resources.
**HR Records**: Maintain and update employee records and HR databases.
**Payroll & Leave management**:Maintaining leave record and preparing Payroll.
**Benefits Administration**: Support HR in benefits administration and respond to employee inquiries.
**Finance**:
**Expense Management**: Assist in tracking and managing office expenses, including petty cash handling.
**Invoice Processing**: Collaborate with the finance department to process invoices, verify expenses, and reconcile accounts.
**Expense Reports**: Prepare and submit expense reports for reimbursement.
**Financial Records**: Maintain financial records and assist with financial reporting as needed.
**General**:
**Documentation**:Prepare, update, and organize various documents, reports, and correspondence.
**Meeting Support**: Provide administrative support during meetings, including preparing materials and taking minutes if necessary.
**Ad-hoc Tasks**: Assist in special projects and tasks as assigned by senior management.
**Qualifications**:
Bachelor's degree in business administration, finance, human resources, or a related field preferred.
Proven experience in front office, sales support, and administrative roles.
Minimum 3 years of experience in similar field
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Proficiency in Microsoft Office Suite and office management software.
Ability to handle confidential information with discretion.
This Front Office Executive role with Sales Support, HR, and Finance responsibilities is a dynamic position that requires a resourceful and adaptable individual who can effectively manage diverse tasks to contribute to the organization's success.
**Salary**: AED4,000.00 - AED5,000.00 per month
