JobDescription
- Responsiblefor EndtoEnd FM activities from store opening and storeclosures
- Assisting the FM Engineers &respective BUs on establishing new AMCs on time by coordinatingwith projects team procurement team legal team & financeteam. Renewal of AMCs on yearly basis for all GMG RetailsNonretails JC & Shareholdersproperties
- Follow up of quotes materials andall necessary arrangements to support the supervisors on daytodayrequirements
- Purchase Requisitions are prepared& raised on time as per the purchasing guidelines &frequently followed up with Procurement on Purchase order releasedto support the operations
- Prepare advancepayments & cheque request on time with finance team andfollow up for payment releases
- Arrangingrequired documents for Invoice process and related documentsarranging & distributing invoice to the concern supervisortaking necessary action on urgent requirement. Receiving manualinvoices from vendor and sharing with the concern personnel forapproval
- Confirmation of Goods and ServiceReceivables from operations team and release GRN on SAP &P2P
- Following up with Service ProviderProcurement Legal & other concern team for finalizing theAMCs & CDs
- Maintain necessarydocumentation system for effective storage and retrieval ofinformation on all records related to WOs Purchase Orders AMCs CDsInvoices and Customer acknowledgement are saved in appropriateFolders
- Knowledge on local market aboutmaterial and suppliers negotiation skills and Effective managementof purchasing procedures. Develop new vendors for materialsourcing
- Prepare approved vendor list andupdate with new vendors time to time for easy materialsourcing
- Preparing petty cash vouchers for FMEng. preparing OT sheets for inhouse team and submitting to payrollfor approvals.
- Update all the necessarytrackers and submit weekly to the LM. (Store opening tracker AMCTracker Store codes tracker Daily Work Updatesetc)
- On the basis of incident reportregistering in insurance company & claiming for propertydamage
- Provide information on Insurance claimsovertime statement for workers vacant apartment chargeable toFinance & Leasing departments
- Updatemanual RM works for JC and personnelproperties
Skills andexperience youllneed
- Experience in facilitymanagement in retail
- Ability to handle vendorsquotations invoice
- Strong background in drivingdigitization initiatives
- experience inSAP/Oracle (an addedadvantage)
