Executive Assistant to the CFO

Ourclient a large company based in Ajman is currently looking for anExecutiveAssistantto support their CFO. In this role your responsibilities willinclude:.
Preparereports on defined executive operationalmetrics
Developdocuments and communication for various requests reports andletters
Manageall the personal and business daytoday activities and issues of themanager
Collaboratewith other team members in the planning and development of internaland externalprojects
Onbehalf of the manager prepare correspondence and other materialrequiring considerable judgment and knowledge of operations; Screentrace file retrieve and coordinate all incoming and outgoingcorrespondence and necessary paperwork directly related to theoverall management of theorganization
Holdall workrelated information in the strictest confidence. Thisincludes but is not limited to; communications either direct orindirect; strategic information and employee specific personnelaction and information.
Representteam in liaising with other department teams to coordinate someprojects
Meetprofessional obligations through efficient work habits such as:meeting deadlines honouring schedules coordinating resources andmeeting in an effective and timely manner and demonstrate respectforothers
Ensuresalignment with organization policy and defined regulations throughthe effective management in scheduling offsite travel (hotel flightrental car meeting agenda presentation location needs) fordesignated executivepersonnel
Managea variety of important functions requiring independent judgment andusing tact and diplomacy in dealing with officials and thepublic
Participatein Team meetings through the preparation of agendas packetsdocuments and general recordkeeping
Manageand maintain the schedule of the team obtaining and providingneeded information for scheduledappointments
Demonstrateefficiency in scheduling creating complex documents and exercisingdiscretion and independent judgment in matters of importance andensures the general operations of the department are functioning tomaximumcapacity
Providesupport and a wide range of complex confidential and administrativeduties to themanager
Providesupervision and general project management for special requests bythe team and ensure appropriate follow throughactions
Performpersonnel oriented tasks including participating in the hiringprocess supervising the training of new employees ongoing trainingof other employees resolving employee problems and followingdefined policy/procedure around general supervision (ifapplicable)
Supervisedesignated office administrative staff by developing operatingprocedures and systems to ensure effective and efficient departmentoffice operations (ifapplicable)
Responsiblefor conducting the meetings biweekly Business and operationalmeetings and financial and budgeting reviews (ifapplicable)
Organizeand maintains contracts records and other essential documents;archive out of date information according to records managementcompliance and best practices
Manageand supervise designated personnel the planning coordinating anddirecting of activities associated with the overall operation ofthe department in general.
Developpresentations to include general preparation identifying resourcescollateral and presentation materials equipment needs producingscripts and PowerPointpresentations
Requirements
Tobe considered for this role you need to meet the followingcriteria:
Must be fluent inEnglish
Must be a Bachelor degreeholder
Must have good knowledge inusing Microsoftapplication
Must have experienced workingin a multiculturalenvironment
At least 5 to 7 years ofExecutive Assistant / Personal Assistant experience in a highlyprofessional business environment (experience in financial servicesprofessional services legal or banking industries preferred or atleast have supported Head of Finance / CFO or Senior Management / Clevel.
Exceptional written andverbal communication skills in English.. Desire to deliver superiorcustomerservice
Ability to multitask withhigh degree ofaccuracy
Demonstrated high level ofprofessionalism andconfidentiality
Excellent phone manners andinterpersonal communicationskills
Ability to learn and acceptstandard operating procedures and compliance regulationsExceptional skills with Microsoft Office: Word ExcelPowerPoint

To be considered for this role, you have to meet the followingcriteria: Bachelor's degree in any related field preferred but nota must.
