Client Coordinator

This role is responsible for coordinating inbound and outbound shipments, serving as the single point of contact for customer needs. The Customer Service Coordinator acts as a link between the customer and multiple departments, ensuring customer deliverables are met for a small group of customers.
Key Responsibilities:- Receives pre-alerts/ASN documents for inbound shipments, organizes and checks import shipment documents, and coordinates with shipping lines/agents and warehouse operations teams.
- Follows up for timely clearances and coordinates with trucking divisions to ensure cargo is received in the warehouse as per schedule.
- Prepares ASN in WMS, updates details in WMS, and shares RCR with customers after updating the system accurately.
- Communicates with customers for any exceptions found in documents or physical cargo receipt reports any discrepancies to avoid mishandling of goods.
- Monitors and ensures ASN receiving and put-away is completed within agreed KPI timelines.
- Reviews shipping orders, generates pick sheets for outbound shipments, and ensures correct items are picked and packed as per customer requirements.
- Prepares shipment orders in WMS, updates details in WMS, and maintains proper trackers.
- Assists in preparing and providing customers with all details regarding dispatch of goods, such as packing lists, HS codes, health certificates, and FIRS/COO documents.
- Prepares and sends necessary documents to nominated forwarding agencies/coordinates with CHB for clearance processes in a timely manner.
- Ensures system updates once cargo departs from the warehouse and shares documents with customers.
- Prepares necessary inbound and outbound status reports, monitors KPI stock movement ageing reports, billing, and other reports as required.
- Manages customer daily communication and ensures documentation required for inbound/outbound shipments is available before clearance.
- Updates and maintains Customs-related reference numbers in WMS (BOE/DEC/LGP, etc.) and ensures HS code validation with WMS/Customs systems is accurate.
- Prepares job files, checks for all relevant documents, chargeable services, and costs before forwarding to supervisors for final verification.
- Ensures all cost information is available for billing within monthly timelines and performs customer billing.
- Communicates challenges/issues as well as opportunities for improvement to CSR/Team leaders and performs other related duties/projects assigned by the team leader to meet business needs.
- Education: Minimum Bachelor's Degree in any discipline. Diploma holders with relevant experience may be considered as well.
- Experience: Minimum 3 years in a warehousing operation is preferred but the position is open to freshers as well.
- Prior experience in the GCC (UAE experience preferred) in the similar industry is an added advantage.
- Fluency in English is a must (must be able to read, write, and communicate); knowledge of Arabic is preferred but not mandatory.
- Strong interpersonal skills, strong organizing skills, strong communication skills (both oral and written), good organizational skills, ability to multitask, attention to detail, ability to work in a team environment, and attention to details.
- Computer skills: Expertise in usage of Microsoft Office tools (Word, Excel, and PowerPoint), general knowledge of warehouse management system usage, and exposure to other logistics software is a plus.
