Job Title: Leasing Administrator

We are seeking a highly skilled Leasing Administrator to join our Property Management team at Accor. As a key member of our team, you will be responsible for managing leasing contracts, documents, and reports, as well as ensuring compliance with company policies and procedures.

Key Responsibilities:
  • Leasing Contract Management: Manage leasing contracts, including signing, system updates, and reporting, to ensure timely and accurate processing.
  • Document Management: Maintain accurate and up-to-date records of leasing documents, including tenancy contracts, landlord documents, and tenant contracts.
  • Compliance and Governance: Ensure compliance with company policies, procedures, and relevant laws and regulations, including rental laws and guidelines from the land department, municipality, and other government authorities.
  • Unit Management: Publish, add, and update units, including uploading landlord documents and tenant contracts.
  • Departmental Procedures: Follow established departmental procedures for all tenancy contracts and renewals.
  • New Application Screening: Screen and verify new applications, ensuring accuracy and completeness of information.
  • Contract Registration: Register tenancy contracts with the Dubai Land Department.
  • Reporting and Reconciliation: Prepare EJARI reports and forward for reconciliation purposes to the accounts department.
  • Bounce Cheque Cases: Follow up on bounce cheque cases and ensure timely resolution.
  • Renewal Notifications: Monitor renewal notifications sent by the Leasing and Apartment Manager and send reminders for notifications not sent.
  • Contract Monitoring: Monitor the status of forwarded contracts/documents for signature, rejected contracts, pending documents, and other related matters until they are signed by the Director of Finance/GM.
  • Stationery Requirements: Manage stationery requirements and requisitions.
  • Team Support: Provide support to the Property Management team as required, ensuring a collaborative and effective working environment.
Requirements:
  • Education: A university degree in a suitable major (preferable in business administration) with at least 3 years of experience in leasing retail/commercial/shopping centers with a reputable real estate company.
  • Administrative Skills: Sound administrative ability to compile reports and effectively manage paperwork.
  • Leasing Knowledge: Strong working knowledge of leasing aspects in the commercial and business sector, particularly in the Middle East.
  • Technical Skills: Proficiency in MS Office applications.
  • Communication Skills: Excellent communication skills, with fluency in English essential and a second language an asset.
