Senior Administrative Coordinator

The Senior Administration Officer is responsible for providing high-quality administrative support to our staff and management. This includes providing administrative assistance, maintaining accurate records, and communicating effectively with internal and external stakeholders.
This role requires strong leadership and supervisory skills to manage administrative teams and provide guidance and support. The ideal candidate will have excellent organizational skills to manage multiple tasks and priorities effectively, as well as strong written and verbal communication skills for interacting with internal and external stakeholders.
Key Responsibilities:
Administrative Assistance:
- Provide administrative support to staff and management, including answering phones, responding to emails, and preparing correspondence.
- Manage calendars, coordinate travel arrangements, and make hotel reservations as needed.
- Prepare and distribute meeting materials, take minutes, and maintain confidential files.
Record-Keeping:
- Maintain accurate and up-to-date records, including personnel files, payment records, and inventory control.
- Prepare and review reports, including expense reports, time sheets, and financial statements.
Communication:
- Serve as the primary point of contact for internal and external communication, including emails, phone calls, and physical mail.
- Develop and maintain positive relationships with colleagues, clients, and vendors.
Problem-Solving:
- Identify and resolve administrative problems and issues in a timely and effective manner.
- Make sound decisions based on analysis and recommendations.
