Role Overview

The Senior Proposals Specialist plays a crucial role in ensuring that management receives accurate and timely information regarding ongoing and pending tenders, facilitating informed operational decisions.

Key Responsibilities
  • Document Review: Conducts thorough assessments of tender documents, including detailed evaluations of the Instructions to Tenderers, Scope of Work, critical contract timelines, pricing forms, and payment terms.
  • Meeting Coordination: Co-facilitates bid kick-off meetings and organizes progress meetings as necessary to ensure alignment among stakeholders.
  • Bid Development Oversight: Guarantees that bid development and contributions adhere to the Capture Plan strategies established beforehand or as modified.
  • Budget Monitoring: Tracks bid support budgets and informs the Proposals Manager of any potential overruns.
  • Schedule Management: Establishes and communicates the bid schedule, ensuring all departments are aware of their proposal input requirements.
  • Progress Monitoring: Keeps track of bidding activities, raising any concerns to the Proposals Manager promptly.
  • Clarification Management: Sets up and maintains a clarification register to log and monitor all pre- and post-bid correspondence.
  • Consistency Checks: Reviews and identifies inconsistencies in the Invitation to Tender documents, seeking clarification from clients when necessary.
  • Input Coordination: Coordinates inputs, issues requests for clarification, and distributes responses and Bid Addenda from clients, summarizing addressed matters when feasible.
  • Quality Assurance: Reviews bid inputs to ensure accuracy, consistency, and alignment with the Capture Plan strategies.
  • Timely Expedite: Expedites input to safeguard the bidding schedule.
  • Proposal Document Review: Regularly reviews the proposal document to ensure it meets customer requirements in terms of format, content, and consistency.
  • Compilation: Compiles the proposal document intended for submission to the client.
  • Approval Process: Ensures that the relevant general manager or their delegate has approved all inputs used in the final bid.
  • Qualifications Preparation: Prepares technical and commercial qualifications as needed.
  • Reporting: Prepares all reports and bid review packages as defined in procedural documents to meet management's bid review requirements.
  • Delivery Coordination: Ensures that the correct delivery arrangements are made and confirmed in advance.
  • Client Negotiations: Assists with negotiations with clients to secure favorable outcomes.
  • Team Collaboration: Fosters a culture of teamwork, collaboration, and success, learning from other leaders.
  • Relationship Management: Develops and maintains positive relationships with internal functions and clients, ensuring accountability for timely bid submissions.
  • Accountability: May hold bottom-line accountability for the financial and technical success of the bid or specific areas of bid responsibility.
