Personal Assistant to Top-Level Executives

Job Description
The successful candidate will provide high-level administrative support to the Executive Director, including preparing reports, presentations, and other materials. This will involve coordinating travel arrangements, managing expenses, and ensuring accurate and timely completion of administrative tasks.
Responsibilities
- Provide administrative support to the Executive Director, including general office duties and special projects.
- Arrange and coordinate travel schedules, including booking flights, hotels, and rental cars.
- Manage expenses submission and ensure accurate record-keeping.
- Proactively manage the executive's calendar, schedule meetings, and book conference rooms.
- Clean out email and voicemail daily and serve as the first point of contact for phone calls.
- Distribute and open post, ensuring timely and efficient communication.
- Assist with planning and coordinating internal events, such as quarterly kick-offs, business unit nights out, and director offsites.
- Perform various administrative tasks, including filing and data entry.
- Undertake additional projects as required by the executive.
Requirements
To excel in this role, you should have a strong background in administration, excellent communication skills, and the ability to work effectively in a fast-paced environment. A minimum of 5 years' experience as an Executive Assistant or Personal Assistant to senior management is required, with experience working with multinational organizations being highly desirable.
