Talent Culture Coordinator Job Description

We are seeking a highly organized and detail-oriented Talent Culture Coordinator to join our team at Novotel Hotels. As a key member of our Talent & Culture department, you will play a vital role in supporting the day-to-day operations of the team.

Key Responsibilities:
  • Administrative Support: Provide administrative support to the Talent & Culture team, including written correspondence, mail, photocopying, and ordering office supplies.
  • Communication and Coordination: Receive internal and external calls and in-person visitors, answer inquiries as needed, schedule appointments, and direct calls to the T&C team members.
  • Employee Onboarding: Complete reference and background checks, make job offers, and process all new hire paperwork as required. Handle incoming and outgoing mail.
  • Employee Support: Coordinate and provide support to all units in terms of Pension, Medical, or any other assistance they may require.
  • Record Keeping: Maintain accurate and confidential filing systems for correspondence, policies, standards, regulations, and various matters related to the office.
  • Personnel Management: Manage accurate and efficient personnel filing systems.
  • Colleague Support: Prepare colleagues' ID and name badges, prepare all letter correspondence for colleagues, and maintain colleagues' information using the current system.
  • Attendance and Leave: Coordinate with department admin assistants and coordinators to verify attendance information.
  • Document Management: Assist colleagues with any document requirements they may have.
  • Travel Arrangements: Book onboarding flights for new executives and expatriates.
  • Payroll Administration: Liaise with payroll function for effective and on-time administration of payroll.
  • Exit Procedure: Manage all aspects of the exit procedure of leaving colleagues, including visa cancellation, document requirements, and flights if applicable.
  • Locker Management: Manage the availability of lockers for all colleagues.
  • Colleague Orientation: Prepare new colleague orientation documents as required.
  • Event Support: Assist with and support colleague events.
  • Compliance: Follow departmental policies and procedures, and follow all safety policies.
