Job Description: Administration Officer (Pest Control Company)
Position Overview: Royal Bee pest control company, we are seeking a dedicated and highly organized Administration Officer to provide essential support in managing administrative tasks. The Administration Officer will play a crucial role in ensuring the smooth operation of the business, maintaining accurate records, and delivering excellent customer service. This position requires strong communication skills, attention to detail, and the ability to work independently and as part of a team.
**Responsibilities**:
File Management:Organize and maintain physical and digital files related to clients, contracts, permits, invoices, and other business documents.
Ensure files are properly labeled and easily accessible for quick retrieval.
Record Keeping:Maintain detailed records of pest control services, including job descriptions, time logs, materials used, and client feedback.
Compile and update service history records for each client.
Address client inquiries, schedule appointments, and provide accurate information about services offered.
Handle client complaints and concerns, escalating to management if necessary.
Team Communication and Coordination:Act as a liaison between the pest control team and management, relaying important information and instructions.
Schedule team meetings and maintain a shared calendar to ensure smooth coordination of appointments and tasks.
Client Follow-Up:Conduct regular follow-ups with clients to ensure their satisfaction with the pest control services.
Seek feedback on service quality and address any issues that arise.
Data Entry:Input relevant data into the company's database, such as client information, service logs, and financial records.
Billing and Invoicing:Assist in preparing invoices for clients, ensuring accuracy and completeness.
Track payments and follow up on overdue accounts.
Inventory Management:Monitor inventory levels of pest control equipment and supplies.
Coordinate with suppliers to restock items as needed.
Administrative Support:Provide general administrative support to the pest control team and management as required.
Assist in preparing reports and presentations for business meetings.
Compliance and Regulation:
- Stay up-to-date with relevant industry regulations and ensure compliance with licensing requirements and permits.
Office Maintenance:
- Help maintain a clean and organized office space, ordering office supplies when necessary.
Marketing Support:
- Assist in marketing activities, such as preparing mailers, updating the company website, or managing social media accounts.
Qualifications:
- Proven experience in an administrative role, preferably in the pest control or related industry.
- Excellent communication and interpersonal skills.
- Strong organizational and time management abilities.
- Knowledge of basic accounting and invoicing procedures is an advantage.
- Familiarity with pest control regulations and industry practices is a plus.
- Ability to work independently and collaboratively as part of a team.
