Onboarding Assistant

**Responsibilities**:
- Gather and organize the property’s related documents for the onboarding
- Draft new lease agreement contracts
- Manage the DTCM permit issuance
- Collaborate with Accounting to draft invoices.
- Coordinate with the rest of the team to activate utilities and pay the providers.
- Gather information about the work and move-in procedures in the building/community and submit the relative documentation.
- Book Property Photoshoot.
- Release of keys, cards and remotes to Operation team at the end of the onboarding process; and ensuring record keeping of the same. Proper labeling of keys, cards and remotes.
- Produce and print Guests information brochures
- Coordinate the purchases and payments for property revamps when needed
- Ensure the DTCM permits are sent to the building reception.
- Manage the company’s inventory in collaboration with Accounting department.
- Coordinate maintenance tasks when needed.
- Regularly update the progress of the onboarding process on Salesforce
**Qualifications, Knowledge and Experience**:
- Strong IT skills: Excel or Google Sheets, Word, PowerPoint; Document filing, calendar
- management, and Salesforce.
- Strong planning, organizational and administrative skills
- English - fluent working proficiency (both speaking and writing)
- Previous experience in property management, hospitality, or related industry preferred.
- Excellent communication and interpersonal skills, with the ability to build rapport and trust
- with diverse stakeholders.
- Ability to work independently and take initiative in a fast-paced, dynamic environment.
- Excellent time management and organizational skills with attention to detail
- Excellent communication skills
