Receptionist /office Secretary

The Receptionist/Secretary is responsible for all areas relating to documentation and support in helping the administration operate daily activities smoothly while maintaining sales principles, practices, and procedures to ensure accurate and timely service is provided. This position addresses deadlines and a multitude of Sales activities including maintaining and updating Sales Engineer Customer Lists, updating Sales Visit Logs, Sales Engineer regional area visits, etc.
**Roles and Responsibilities**
- Organizing Site Supervisors Visit / Inspection and arrange Report /Arranging Gate Pass/Schedule to send by WhatsApp group.
- Printing of Submittal Hardcopies and arranging with Courier for the delivery and to Record of Submittal Hard Copies given in submittal chart. Communicate with sales engineer with the date of submittal given or will be Hardcopy.
- Recording Resource and Waste Monitoring Record [Monthly]
- Arranging Guarantee/Warrantee Letter
- Customer Satisfaction Survey/Customer Feed back for sales engineer and follow up
- Arranging sample with delivery note. Keep a track of the sample distributed [such as utc/ssbh/sbfc/shaa /rh-ad cost involved samples and not for lagging underlay etc] Chasing Sales Engineer/Customer for the Sample given and updating Sample Tracking Sheets on regular basis
- Answering Phone Calls with Greetings
- Ensure Office Space/Training Room is kept well maintained/organized
- Welcome guests with pleasant approach/offerings/clean up after
- Daily Attendance Log
- Ordering Stationery /Grocery / Tonners - ensuring stock levels are adequate and maintained
- Arranging Shop drawings for printing
- Updating Protocol folder Soft copy and Hard Copy in file
- HR Planning and Organizing - Luncheons/Birthday Announcements/National Days
- Vendor Registration for contractors
- Samples Tracking for samples issued
- Preparation of Monthly KPI reports to Management
Ability to commute/relocate:
