**Job Title**: Secretary

Job Summary

Key Responsibilities

1. **Administrative Support**:

- Prepare and edit correspondence, reports, memos, and other documents.
- Handle incoming and outgoing mail and packages.

2. **Scheduling and Coordination**:

- Manage calendars for the team, scheduling meetings, appointments, and travel arrangements.
- Coordinate and prepare meeting agendas, take minutes, and distribute them promptly.
- Organize and facilitate conferences, events, and other office functions.

3. **Document Management**:

- Maintain and organize files, records, and databases, ensuring accurate and up-to-date documentation.
- Assist with the preparation and distribution of company documents and presentations.
- Implement and oversee the company's document retention policies.

4. **Communication**:

- Serve as the first point of contact for clients, visitors, and vendors, providing a professional and friendly interface.
- Communicate effectively with internal staff to relay messages and information.
- Handle sensitive information with discretion and maintain confidentiality.

5. **Office Management**:

- Order and maintain office supplies, and ensure equipment is in good working condition.
- Monitor and manage office expenses, budgets, and petty cash.
- Support office maintenance and liaise with vendors for facility services.

6. **Special Projects**:

- Assist with various special projects and tasks as assigned by management.
- Conduct research and compile data to support project needs.
- Develop and improve office procedures and processes.

**Qualifications**:
**Education and Experience**:

- High school diploma or equivalent; Associate’s or Bachelor's degree in Business Administration or a related field preferred.
- Proven experience as a secretary or in a similar administrative role.

**Skills and Competencies**:

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Attention to detail and problem-solving skills.
- Ability to work independently and collaboratively with a team.
