Reception/patients Relations Supervisor

Counseling Center is currently seeking a highly motivated and skilled individual Arabic speaker to join our team as a Reception/Patient Relations Supervisor. This is a key role that combines administrative tasks with a focus on providing exceptional customer service and fostering positive relationships with our clients. If you are passionate about supporting individuals in their mental health journeys and have a strong background in reception and customer service, we encourage you to apply.
**Responsibilities**:
- Oversee the daily operations of the reception area, ensuring smooth and efficient patient flow.
- Supervise and provide guidance to reception staff, including training, scheduling, and performance management.
- Develop and maintain positive relationships with clients, ensuring their needs are met and concerns or complaints are addressed promptly and professionally.
- Manage appointment scheduling, including coordinating with therapists and other staff to optimize availability and minimize wait times.
- Handle complex or escalated client inquiries or issues, demonstrating empathy and problem-solving skills.
- Maintain accurate and up-to-date client records in our electronic health records system, ensuring confidentiality and compliance with privacy regulations.
- Collaborate with other departments to ensure effective communication and coordination of services.
- Monitor and evaluate reception processes, identifying areas for improvement and implementing enhancements as needed.
- Assist in the development and implementation of customer service policies and procedures.
- Stay updated on industry trends and best practices related to patient relations and customer service.
Qualifications:
- High school diploma or equivalent; additional education or training in customer service or healthcare administration is a plus.
- Proven experience in a receptionist or customer service role, preferably in a healthcare or counseling environment.
- Strong interpersonal and communication skills, with the ability to engage with clients and staff at all levels.
- Excellent organizational skills and the ability to multitask in a fast-paced environment.
- Proficiency in using office productivity software, electronic health records systems, and scheduling software.
- Demonstrated leadership and supervisory abilities.
- Ability to handle challenging or emotional situations with empathy and professionalism.
- Knowledge of privacy regulations and the importance of maintaining client confidentiality.
- Flexibility to adapt to changing priorities and work collaboratively in a team setting.
Pay: Up to AED10,000.00 per month
