Executive Secretary

We are looking for an experience Executive Secretary to support the Managing Director of our company.You will be performing a variety of administrative tasks, must be quick, diplomatic and professional with great time-management and multitasking abilities. Able to focus without supervision.

**Responsibilities**:

- Minimum 3+ years of experience as an Office Manager / ES /EA to Managing Director
- Exceptional knowledge and experience working with Microsoft Office
- Have excellent command of written and spoken English
- Discretion, accountability and dependability - key attributes to fulfil the demands of this role
- Excellent time management skills and ability to multitask and prioritise work
- Answer phone calls and redirect them when necessary
- Manage the Managing Director's weekly agenda
- Prepare and disseminate correspondence, memos, and forms
- Create processes where necessary to head-off potential bottlenecks and ease workflow procedures
- File and update contact information of employees, customers and suppliers
- Prepare and update financial sheet/reports
- Check frequently the levels of office supplies and place appropriate orders
- Document expenses and hand in reports
- Experience in handle social media account is highly preferable
- Proofread and understand contracts
- Prepare and send quotations and invoices
- Resourceful, dependent and ability to work proactively
- Proactive, responsive and communicative
- Honest, transparent, high integrity in work and personal life
- Following up with production and ensuring deliveries are on schedule
- Ability to manage crises, last-minute changes, unexpected problems by remaining calm and composed, and looking to the solution
- Assist in the development and preparation of presentation materials (e.g. budget, strategic plan, etc.)
- Establish and maintain files and records
**Requirements**:
Proven work experience as a Executive Assistant or Administrative Assistant serving senior executivesFamiliarity with office organisation and optimisation techniquesExcellent written and verbal communication skillsClear telephone voiceProficiency in MS Office preferable working knowledge of QuickBooksBasic accounts and social media marketing knowledgeIntegrity and ProfessionalismTech SavvyEducation certificates attested by Ministry of Education from the country of issue, Foreign AffairsMinistry, UAE Embassy

Location: Umm Al Quwain

**Job Types**: Full-time, Permanent

**Salary**: AED1,800.00 - AED2,500.00 per month
