We are looking for a smart & responsible Personal Secretary to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to Chairman’s Business life and communication. Fixing various appointments, following up with task given to others by Chairman, arranging various things.
**Duties & Responsibilities**:
Administrative Support: Providing comprehensive administrative support to the executive, including managing their calendar, scheduling appointments, arranging meetings, and coordinating travel arrangements.
Meeting Coordination: Planning and organizing meetings, conferences, and events. Preparing agendas, taking meeting minutes, and distributing them to relevant participants.
Information Management: Managing and organizing information and documents, both electronic and physical. Creating and maintaining filing systems, databases, and records. Ensuring easy retrieval and confidentiality of sensitive information.
Relationship Management: Building and maintaining effective relationships with internal and external stakeholders, including clients, colleagues, and business partners. Serving as a liaison between the executive and other team members, departments, and external contacts.
Research and Analysis: Conducting research, gathering data, and preparing reports or summaries for the executive's review. Providing insightful analysis and recommendations to support decision-making processes.
Confidentiality and Discretion: Maintaining strict confidentiality and exercising discretion when handling sensitive and confidential information. Upholding professional ethics and integrity.
Office Management: Overseeing the smooth operation of the executive's office. Ordering and managing office supplies, maintaining equipment, and coordinating with IT support when needed.
Miscellaneous Tasks: Providing general administrative support to the executive's team as needed.
**Requirements**:
- Proven work experience as a Personal Secretary
- Knowledge of office management systems and procedures
- MS Office and English proficiency
- Outstanding organisational and time management skills
- Ability to multitask and prioritize daily workload
- Excellent verbal and written communications skills
- Discretion and confidentiality

Pay: AED2,500.00 - AED4,000.00 per month
