Sales Support Officer

**1. POSITION PURPOSE**:
The Sales Support & Pricing Specialist is responsible for securing competitive rates from the market for the sales team. This role is pivotal in maintaining excellent vendor relationships, supporting the sales team with accurate pricing and proposals, and ensuring new and existing customers receive comprehensive information and support.
**3. KEY ACCOUNTABILITIES**:
**Sales Team Support**:
- Support the Sales team in pricing, preparing quotations, and estimates for contract negotiations.
- Prepare sales contracts/proposals based on approved proposals, ensuring all external proposals include our standard terms & conditions of carriage & credit.
- Handle communication with customers, ensuring they receive the best quality of service and are kept updated about their shipments.
- Finalize contracts/proposals, incorporating any customer-required changes and ensuring all authorized signatories sign the final draft.
- Maintain and update all appropriate contract records (system files and hard copies), initiating renewals well before the expiration of contracts/proposals.
**Freight Operations & Vendor Management**:
- Secure the best prices from shipping lines and airlines, coordinating shipment bookings and negotiating prices for the company's and customer's best interest.
- Contact and coordinate with overseas agents for cross-trade and import shipments.
- Actively engage with the customs clearance team and other departments to define and document standard operating procedures for specific contracts.
- Manage and understand Calogi & Emirates airline systems for booking AWBs, and comprehend procedures for booking BLs with shipping lines for export shipments.
- Book AWBs and BLs with airlines and shipping lines, ensuring coordination, and communicate with the clearance team for import/export processes, providing full clarity to complete the job.
- Coordinate with transportation vendors and customers for transportation requests without clearance; if clearance is included, liaise with the clearance team.
- Communicate with customs clearance agents in other countries to ensure requirements for door-to-door shipments are met.
- Undertake any other related duties/projects assigned by the supervisor to meet business needs.
**4. PERFORMANCE GOALS**:
- Enhance vendor and supplier relationships to secure better rates and service terms.
- Achieve customer satisfaction through excellent service and communication.
- Maintain strong coordination with the customs clearance department to streamline import/export processes.
- Consistently obtain competitive market rates, aiming for a [specific percentage] cost reduction in bookings.
