**Job Overview**:
The Document Controller ensures the efficient management, organization, and safeguarding of all company documents and records, particularly those related to real estate operations in Ajman. This role is vital for maintaining compliance with regulatory authorities such as the Ajman Real Estate Regulatory Agency (ARRA) and ensuring proper documentation for property transactions, leasing, and client agreements.
**Key Responsibilities:Document Management**:
- Develop and maintain a structured filing system for physical and electronic documents, ensuring easy retrieval and compliance with company standards.
- Maintain up-to-date records of property-related documents, including title deeds, lease agreements, sales contracts, and tenant details.
- Ensure the proper labeling, classification, and archiving of documents as per ARRA and UAE regulations.
**Regulatory Compliance**:
- Verify the accuracy and completeness of documents to meet the requirements of Ajman Real Estate Regulatory Agency (ARRA).
- Prepare and submit required documents to government authorities for property registrations, renewals, and compliance audits.
- Ensure timely renewal of licenses, permits, and certificates related to real estate operations.
**Coordination and Support**:
- Coordinate with property managers, agents, and legal teams to collect, review, and update required documents.
- Assist in the preparation of documentation for property sales, rentals, and management agreements.
- Act as the custodian of confidential documents, ensuring they are protected and accessed only by authorized personnel.
**Reporting and Tracking**:
- Maintain tracking systems to monitor the status of agreements, renewals, and regulatory submissions.
- Generate periodic reports on document status for management review.
- Notify relevant stakeholders of document expiration dates (e.g., contracts, licenses) to avoid delays or penalties.
**Process Improvement**:
- Regularly review document control processes and suggest improvements to enhance efficiency and compliance.
- Ensure adherence to ISO or other quality standards relevant to document management in the real estate sector.
**Qualifications and Skills**:
- **Education**:
- Bachelor’s degree in Business Administration, Information Management, or a related field.
- **Experience**:
- 1-2 years of experience in document control, preferably in the UAE real estate sector.
- Familiarity with Ajman Real Estate Regulatory Agency (ARRA) documentation requirements is an advantage.
- **Knowledge**:
- Strong understanding of UAE labor laws, real estate regulations, and property documentation standards.
- Proficiency in document management systems and MS Office Suite.
- **Skills**:
- Excellent organizational and time-management abilities.
- High attention to detail and accuracy in document handling.
- Effective communication skills, both written and verbal.
- Ability to work under pressure and meet tight deadlines.
