HR and Office Manager

The **HR and Office Manager** is responsible for overseeing the human resources and office management functions. This role involves managing the recruitment, onboarding, and employee relations. Additionally, the HR and Office Manager will handle office management duties and coordination of administrative tasks. This position requires a proactive individual with strong organizational and communication skills, capable of supporting both HR and office management activities seamlessly.
**Key Responsibilities**:
**HR**
- Support the onboarding process for new hires, including preparing offer letters, employment contracts, conducting background checks, and facilitating orientation sessions.
- Ensure compliance with labor Law (MOHRE)
- Work closely with PRO for visa, labor permits, licenses renewal and other legal requirements.
- Renew DHA licenses and malpractice insurances for medical staff, BLS certificates, vaccination records
- Provide Salary certificates, bank letters etc
- Manage leave calendar for entire team, ensure even distribution of resources.
- Serve as a point of contact for employee inquiries and provide support on HR-related matters.
- Assist in the administration of employee benefits programs, including health insurance, annual flight tickets etc.
- Maintain accurate and up-to-date employee records, ensuring compliance with company policies and legal requirements.
- Keep track of all renewable document expiries
- Assessing training needs and requirements, organize training sessions and workshops (ex. fire safety, emergency etc).
- Organize trainings/CME activities for medical team, circulation of information about relevant events happening in Dubai, such as healthcare and wellness conferences.
- Performance reviews - preparing reviews based on past year data, setting KPIs, conducting the reviews.
- Social calendar for entire team, birthdays, assistance with event organization
- Develop and oversee employee recognition programs to enhance motivation and engagement.
- Uniforms for staff
- Assist with creating and implementation of HR policies and procedures
- Work with senior management to develop and implement organizational development strategies.
**Office management**
- Manage inventory of office and medical supplies to ensure availability (pantry items, laundry and cleaning, PPE)
- Coordinating with IT
- Assist with random admin tasks as requested by MD or Clinic Manager
**Qualifications**:
- Experience in Healthcare is **mandatory**:
- At least 3-4 years of local experience in HR and office management roles.
- Bachelor’s degree in Human Resources or Business Administration.
- DHA knowledge is not mandatory, but would be an added advantage.
- Excellent organizational and multitasking skills.
- Strong interpersonal and communication skills.
- Strong problem-solving skills and attention to detail.
- Ability to work independently and as part of a team.
