Executive Assistant to CEO

**Responsibilities**:

- Manage the Daily Calendar & Schedule appointments, Meetings & Reminders.
- Coordinate and prepare materials for Meetings, including Agendas, Presentations, and Reports.
- Take minutes during meetings and distribute them to relevant stakeholders.
- Prepare and edit correspondence, reports, and presentations as required.
- Maintain confidential files and records, ensuring data integrity and security.
- Conduct research and gather information for various Projects and Reports as instructed by CEO.
- Coordinate and liaise with internal teams and external stakeholders to facilitate smooth communication and collaboration.
- Assist & Record in the preparation of budgets and financial reports, and monitor expenses.
- Manage and prioritize multiple tasks and deadlines effectively.
- Perform general administrative tasks, such as filing, copying, and data entry.
- Responsible to handle CEO Agenda, Prepare Daily Plan, and monitor the updates in regulars intervals
- Highly Professional & Proactive and understand the Needs of Business.
- We are looking for someone with a keen Presence of Mind.

**Job Requirements**:

- Bachelor's degree in business administration or a related field is preferred.
- Proven experience for a Minimum of 3 years as an Executive Secretary or similar role.
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle sensitive and confidential information with discretion.
- Strong attention to detail and accuracy.
- Ability to work independently and as part of a team.
- Strong problem-solving skills and the ability to adapt to changing priorities.
- Proficiency in languages like Ukrainian, Russian, Romanian, Belarusian, Romani, Polish, or Greek is a must.Manage the Daily Calendar & Schedule appointments, Meetings & Reminders.
