The Shipping Assistantplays a crucial role in supporting the logistics and shippingoperations at GMG. The position requires coordination andmanagement of shipments to ensure accurate and timely delivery. Therole involves collaborating with internal teams and externalpartners to streamline shipping processes and maintain inventoryaccuracy.

Key Responsibilities for theShipping Assistant:

  • Process incoming and outgoingshipments according to companyguidelines.
  • Coordinate with courier servicesand logistics partners to schedule deliveries andpickups.
  • Maintain accurate records of shippingdocumentation and inventory levels.
  • Inspect andverify goods received against purchase orders and shippingdocuments.
  • Assist in resolving any issuesrelated to shipping delays ordiscrepancies.
  • Support the implementation ofprocess improvements and cost reductioninitiatives.
  • Ensure compliance with health andsafety standards throughout the shippingprocess.
  • Collaborate with the warehouse team tooptimise storage and organization of goods.

Qualifications and Skills Needed fora Shipping Assistant:

  • Proficiency in basic computerapplications, especially Microsoft OfficeSuite.
  • Excellent organisational skills andattention to detail.
  • Good communication skills,with the ability to work effectively in a teamenvironment.
  • Ability to multitask and managetime efficiently in a fast-paced setting.
  • Aminimum of a high school diploma or equivalent; additionallogistics or supply chain certification is aplus.
  • Physical ability to lift and move heavypackages as needed.

3. TimeManagement

  • PrioritizingShipments : Meeting shipping deadlines and ensuringthat orders are processed in a timelymanner.
  • Handling MultipleOrders : Juggling several shipments at once withoutsacrificingaccuracy.
  • Coordinating withDelivery Services : Ensuring that parcels are shippedout on time and coordinating with carriers for pick-up anddelivery.

4. BasicComputerSkills

  • ShippingSoftware : Proficiency with shipping software orsystems (e.g., ShipStation, UPS WorldShip, FedEx Ship Manager) toprocess orders and printlabels.
  • Order Management Systems(OMS) : Using the OMS to check order statuses, updaterecords, and ensure inventory is up todate.
  • Data Entry :Inputting shipping information, tracking numbers, and handlingcustomer inquiries via email or other communicationtools.

5. Knowledge ofShipping Procedures andRegulations

  • ShippingPolicies : Familiarity with different shippingpolicies and methods (e.g., ground shipping, air freight,international shipping).
  • CustomsRegulations : Understanding shipping regulations,particularly for international shipments, including documentation,tariffs, and customsclearance.
  • HazardousMaterials : Knowledge of how to handle and shiphazardous materials (if applicable) in compliance with safetyregulations.

6.PhysicalStamina

  • Liftingand Handling Shipments : Physically lifting, packing,and moving boxes or packages of varying sizes andweights.
  • Standing for LongPeriods : Being on your feet for extended periodswhile managing packaging or shippingtasks.
  • SortingPackages : Sorting packages based on size,destination, and shipping method.

7.Problem-SolvingSkills

  • ShippingIssues : Handling problems such as delays, damagedgoods, or lost shipments and finding solutionsquickly.
  • CustomerInquiries : Resolving customer complaints related toshipping, such as incorrect addresses or missed deliverydates.
