ReceptionDesk: Ensure all customers entering the receptionare welcomed and give necessary assistance or directed to therequired person/department. Deal with all enquiries in aprofessional and courteous manner, in person, on the telephone orvia e-mail.
TelephoneOperations: Make sure that all telephone calls areswiftly answered, directed to the appropriate person and messagestaken are in clear form.
Administration: Arrange complete set of documents and update delivery report in theportal as and when required by the technical team. Prepare reportsas required by management, mainly pertaining to enquiries, drop-insand deliveries.
Log Management: Record all movements of drop-ins, customer pick up,and deliveries. Prepare and submit required reports when requestedby management. Records to be maintained manually (logbook) alongwith the supporting documents. Ensure inspection and condition isrecorded to ensure highest CSI.
Job SpecificInformation:
Receptionist willact as the first point for customer interface. Will closely workwith the service reception team and other supportstaff.
Qualifications:
- SecondarySchool Education Certificate.
- Diploma inbusiness administration or secretarial studies ispreferred.
Experience
- 3years of minimum experience in admin and receptionistrole.
- Experience with automotive industry orluxury retail is preferred.
- Very good commandof spoken & written English.
- Hindi orUrdu is a must.
1. Customer Service andCommunication
- GreetingVisitors : Welcoming visitors, clients, patients, orcustomers in a friendly and professional manner, ensuring they feelvalued and respected.
- Answeringand Directing Calls : Managing phone lines byanswering calls, forwarding them to the appropriate departments orindividuals, and providing accurateinformation.
- HandlingInquiries : Addressing customer questions orconcerns, offering assistance or redirecting them to theappropriate person or department for more detailedanswers.
- Maintaining aProfessional Image : Ensuring a pleasant environmentby projecting a positive, friendly, and professional attitude,whether in person, on the phone, or viaemail.
2.AdministrativeSupport
- SchedulingAppointments : Managing calendars, schedulingmeetings, appointments, or consultations, and ensuring that allparties are informed of anychanges.
- Filing andOrganizing : Maintaining office files, records, anddocuments, both physical and electronic, to ensure easy access andorganization.
- DataEntry : Inputting and maintaining information indatabases, spreadsheets, and other office managementtools.
- MailManagement : Sorting, distributing, and handlingincoming and outgoing mail orpackages.
- HandlingPayments : In some environments (e.g., medicaloffices, salons), receptionists may handle invoicing, payments, orbilling inquiries.
3.Office Management andCoordination
- EnsuringSmooth Operations : Coordinating the flow of dailyactivities, ensuring that everything runs smoothly, and addressingany issues that may arise at the frontdesk.
- Managing OfficeSupplies : Monitoring office supplies and ensuringthat necessary items are replenished in a timely manner, such asstationery, printer supplies, andbrochures.
