The Reception & Administrative Assistant will be responsible for managing front desk operations, providing administrative support, and ensuring the smooth daily operations of Maison Pyramide. This role plays a key part in maintaining a professional and welcoming office environment while assisting with administrative tasks to enhance overall efficiency.

JOB DUTIES & RESPONSIBILITIES

  1. Greet visitors and employees in a professional and friendly manner.
  2. Answer and direct phone calls, emails, and other inquiries efficiently.
  3. Manage incoming and outgoing correspondence, including mail and courier services.
  4. Maintain and organize office files and records, both electronic and physical.
  5. Assist in the preparation and editing of documents, reports, and presentations.
  6. Oversee office supplies inventory and place orders as needed.
  7. Coordinate with vendors, suppliers, and external stakeholders.
  8. Provide general administrative support to office staff and other departments as required.
  9. Assist in scheduling meetings, coordinating appointments, and managing calendars.
  10. Arrange travel, transportation, and accommodation for executives, employees, and clients.
  11. Ensure the reception area and office spaces are well-maintained and organized.
  12. Handle basic HR administrative tasks, including interview scheduling and maintaining employee records.
  13. Take the lead on any other administrative duties requested by managers and partners.

KNOWLEDGE & EXPERIENCE

  1. Bachelor's degree in Business Administration, Management, or a related field.
  2. Previous experience as a Receptionist, Admin Assistant or in a similar role.
  3. Fluent in English .

SKILLS & ABILITIES

  1. Strong written and verbal communication skills.
  2. Excellent organizational skills and attention to detail.
  3. Excellent time management skills.
  4. Excellent knowledge of Microsoft Office.
  5. Ability to maintain confidentiality and handle sensitive information appropriately.
  6. Positive attitude and willingness to learn.
