Job Summary:

The Workplace Experience Support is a key role responsible for the conference scheduling program at our sites. This position requires a highly organized individual who can maintain an efficient process for receiving and coordinating conference room reservations for meetings and special events.

Key Responsibilities:
  • Provides proactive support for conference room bookings and responds to requests in a timely manner.
  • Coordinates with meeting organizers to ensure accurate information and confirmations are communicated.
  • Creates and maintains weekly event lists and distributes to the local team in coordination with Compass Group.
  • Serves as the local point of contact for conference room needs and communicates proactively with the main event owner POC to support Office Wide Events.
  • Consistently follows up with event organizers to ensure every event is executed smoothly.
  • Resolves issues and finds solutions when unforeseen situations arise and disrupt conference rooms booking service.
  • Maintains event Lost & Found inventory and follows up to return lost items to owners.
  • Enters visitor/guest information accurately in the system.
  • Maintains supporting documentation, including event trackers and communication templates.
  • Familiar with minor troubleshooting of conference room amenities.
  • Demonstrates outstanding customer service skills, empathy, and ability to react quickly and positively to a fast-paced environment.
  • Leads by example, practicing and promoting company policies equally, fairly, and consistently.
  • Maintains conference rooms utilization data, including reservation spaces and number of attendees.
Requirements:
  • Bi-lingual (English & Spanish)
  • Experience in customer service, hospitality, or retail environment
  • Strong organizational skills
  • Computer literacy (Excel, Outlook, etc.)
