Front Office Coordinator

We are seeking a highly skilled and experienced Front Office Coordinator to join our team at Ennismore. As a key member of our front office team, you will be responsible for providing exceptional guest service and ensuring a seamless check-in and check-out experience for our guests.
Key Responsibilities- Guest Check-In and Check-Out
- Register and process guest arrivals in a timely and efficient manner.
- Handle guest check-outs, ensuring all necessary procedures are followed.
- Front Office Operations
- Update guest information into the computer system after check-in.
- Accountable for cashiering duties, foreign exchange transactions, and night audits.
- Handle walk-in counter reservations and process call-in reservations when the room reservations section is closed.
- Guest Service
- Provide friendly and courteous service to guests, responding promptly to all requests and inquiries.
- Resolve guest complaints and requests, liaising with the department concerned to ensure immediate follow-up.
- Security and Safety
- Handle the issuance of guest room key cards and ensure effective control for guest security.
- Check and convey messages, mail, and packages to guests.
- Additional Responsibilities
- Assist at the information counter, foreign exchange, night audit, and business center as assigned.
- Have knowledge of hotel rate codes, packages, segmentation, discounts, and how to handle each.
- Handle safe deposit boxes in accordance with policies and procedures.
- Report any unusual occurrences or requests to the manager.
- Be aware of hotel accident prevention policies.
- Ensure the cleanliness and neatness of the front office area.
- Ensure all guests are greeted on arrival and departure.
- Review log books, verify outstanding, and follow up on pending tasks.
- Identify special assignments for the day.
- Check hotel situation, occupancy, functions, groups, and VIPs.
- Communicate all necessary information to the next shift for a smooth operation.
- Prepare for daily arrivals, including room allocations, amenities, and special requests.
- Maintain continuous contact with guests to ensure any problems or complaints are handled efficiently and courteously.
- Review and update log books.
- Check equipment.
- Be smart, well-groomed, and maintain a friendly and cheerful disposition at all times.
- Oversee the day-to-day operations.
- Report regularly on happenings to the Assistant Front Office Manager.
University degree in Hotel Management, minimum 1 year of experience in a similar role at a star hotel.
