Job Summary

We are seeking a highly skilled and experienced Front Office Coordinator to join our team at Ennismore. As a key member of our front office team, you will be responsible for providing exceptional guest service and ensuring a seamless check-in and check-out experience for our guests.

Key Responsibilities
  • Guest Check-In and Check-Out
    • Register and process guest arrivals in a timely and efficient manner.
    • Handle guest check-outs, ensuring all necessary procedures are followed.
  • Front Office Operations
    • Update guest information into the computer system after check-in.
    • Accountable for cashiering duties, foreign exchange transactions, and night audits.
    • Handle walk-in counter reservations and process call-in reservations when the room reservations section is closed.
  • Guest Service
    • Provide friendly and courteous service to guests, responding promptly to all requests and inquiries.
    • Resolve guest complaints and requests, liaising with the department concerned to ensure immediate follow-up.
  • Security and Safety
    • Handle the issuance of guest room key cards and ensure effective control for guest security.
    • Check and convey messages, mail, and packages to guests.
  • Additional Responsibilities
    • Assist at the information counter, foreign exchange, night audit, and business center as assigned.
    • Have knowledge of hotel rate codes, packages, segmentation, discounts, and how to handle each.
    • Handle safe deposit boxes in accordance with policies and procedures.
    • Report any unusual occurrences or requests to the manager.
    • Be aware of hotel accident prevention policies.
    • Ensure the cleanliness and neatness of the front office area.
    • Ensure all guests are greeted on arrival and departure.
    • Review log books, verify outstanding, and follow up on pending tasks.
    • Identify special assignments for the day.
    • Check hotel situation, occupancy, functions, groups, and VIPs.
    • Communicate all necessary information to the next shift for a smooth operation.
    • Prepare for daily arrivals, including room allocations, amenities, and special requests.
    • Maintain continuous contact with guests to ensure any problems or complaints are handled efficiently and courteously.
    • Review and update log books.
    • Check equipment.
    • Be smart, well-groomed, and maintain a friendly and cheerful disposition at all times.
    • Oversee the day-to-day operations.
    • Report regularly on happenings to the Assistant Front Office Manager.
    Requirements

University degree in Hotel Management, minimum 1 year of experience in a similar role at a star hotel.
