Basatin Landscaping SPLLC is seeking an experienced Administrative Support Specialist to join our team. In this role, you will provide critical support to the operation manager in ensuring timely completion of tasks with maximum accuracy and safety.

The key responsibilities of this position include:

  • Coordinating with project support and document control teams.
  • Preparing and managing project documentation and administrative tasks.
  • Assisting managers with daily administrative duties.
  • Providing general project support.
  • Preparing monthly invoices.
  • Maintaining correspondence related to projects.
  • Compiling data for tender submissions and coordinating with departments.
  • Preparing quotations and contracts for AMC.
  • Submitting quotations to clients.
  • Preparing Purchase Orders and coordinating with suppliers.
  • FOLLOWING UP ON POs AND LPOs TO OBTAIN REQUIRED APPROVALS AND/OR SIGNATURES.
  • COORDINATING WITH PROCUREMENT AND LOGISTICS FOR MATERIAL DELIVERY.
  • COORDINATING WITH THE ACCOUNTS DEPARTMENT FOR MONTHLY INVOICE POSTINGS.
  • GENERATING SALES ORDERS AND SUBMITTING THEM TO THE FINANCE TEAM FOR INVOICING.
  • FILES ACKNOWLEDGED INVOICES FOR ACCOUNTS REFERENCE.
  • FILES DOCUMENTS SUCH AS MATERIALS REQUISITION, LOCAL PURCHASE ORDERS, DELIVERY NOTES, QUOTATIONS, AND INCOMING AND OUTGOING DOCUMENTS SENT BY FAX OR E-MAIL.
  • INPUTS MATERIAL REQUISITIONS AND LOCAL PURCHASE ORDERS TO ENSURE DATA IS UP TO DATE AND ACCURATE USING MICROSOFT EXCEL.
  • MAINTAINS A HEALTHY & SAFE ENVIRONMENT AT THE WORKPLACE.

Educational Requirements:

Bachelor's Degree or Diploma.

Experience and Skills:

At least 1 year of industry experience.
