Job Summary

We are seeking a highly organized and detail-oriented Executive Assistant to provide administrative support to the Director of Finance at the American University of Sharjah. The successful candidate will be responsible for managing the Director's calendar, coordinating meetings, and preparing materials for meetings.

Key Responsibilities
  • Calendar Management: Manage and maintain the Director's calendar, schedule appointments, and coordinate meetings.
  • Meeting Preparation: Prepare and organize materials for meetings when required.
  • Communication: Handle all incoming communications, prioritize emails, and draft letters when necessary.
Administrative Functions
  • Audit Support: Prepare audit requirements, letters, and confirmations for banks and vendors.
  • Bank Communication: Communicate with banks and prepare bank letters to ensure all information is updated regularly.
  • Government and External Stakeholder Relations: Be the key contact with government entities and external stakeholders in matters related to the Finance department.
  • Purchasing Support: Be responsible for all purchasing requirements for the Finance department.
  • Student Accounts Support: Assist the student accounts office during registration (answer calls, prepare letters, meet parents, reply to emails).
  • AUS Etisalat Account Management: Manage the AUS Etisalat account and be the main contact with Etisalat for all AUS requests.
  • New Staff Onboarding: Assist new staff to get all required access and office requirements.
  • Telephone Extension Billing: Manage the AUS online telephone extension billing system.
  • Accounts Payable Support: Assist the accounts payable during the year-end closing period.
  • Financial System Training: Provide finance-related system training for new staff.
