Key Responsibilities:

As an Executive Assistant to the CEO, you will be responsible for preparing financial statements, reports, memos, invoices, and other documents. You will also answer phones and route calls to the correct person or take messages. Additionally, you will handle basic bookkeeping tasks, file and retrieve corporate records, documents, and reports, and research and conduct data to prepare documents for review and presentation by boards of directors, committees, and executives. You will also help prepare for meetings, accurately record minutes from meetings, greet visitors and decide if they should meet with executives, and use various software, including word processing, spreadsheets, databases, and presentation software. Furthermore, you will read and analyze incoming memos, submissions, and distribute them as needed, make travel arrangements for executives, and perform office duties that include ordering supplies and managing a records database. Experience as a virtual assistant is also a plus. You will also open, sort, and distribute incoming faxes, emails, and other correspondence, and provide general administrative support.
