Job Overview:

Main Responsibilities:
  • Serving as the primary point of contact at the IFZA Reception for Professional Partners, clients, and visitors.
  • Overseeing and facilitating the seamless operation of the IFZA Reception, ensuring that all facets of the client experience are executed to the highest standards.
  • Preparing, maintaining, and verifying various departmental reports.
  • Training new personnel on Reception Standard Operating Procedures (SOPs) to guarantee efficiency and a smooth transition into their new roles.
  • Providing prompt, courteous, and effective assistance to all clients, coordinating with other departments as necessary.
  • Maintaining a comprehensive understanding of IFZA's products and services to effectively address any inquiries or concerns from Professional Partners and clients.
  • Delivering various client services, including but not limited to document collection and submission, mail management, and booking of conference rooms, ensuring adherence to IFZA policies and procedures.
  • Taking ownership of assigned duties and tasks, ensuring that all work is performed in a timely and professional manner.
  • Upholding the confidentiality of client data, ensuring that no sensitive information is disclosed.
  • Maintaining a professional appearance and high grooming standards.
  • Building and nurturing effective working relationships while promoting the company culture and values.
  • Executing other job-related responsibilities as assigned.


Requirements
  • Exceptional verbal and written communication skills in English; knowledge of an additional foreign language is a plus.
  • Strong communication and interpersonal skills, along with an understanding of telephone etiquette.
  • Customer-oriented mindset with the ability to adapt to various personality types.
  • Capability to multitask, prioritize, and manage time effectively.
  • Excellent active listening and problem-solving skills.
