Key Responsibilities

As a Reservations and Operations Executive at Beno, you will be responsible for managing travel arrangements for internal and external clients:

  1. Travel Arrangement Planning: Plan and manage travel arrangements such as hotel bookings, airline flights, ground transportation, and other related services as per company travel policy for internal clients traveling on business trips.
  2. Client Communication: Handle emails and telephone calls within the agreed service agreement to ensure seamless communication with clients.
  3. Reporting and Record-Keeping: Maintain and update the Sales Report in all services for both internal and external clients for Travel Billing Report purposes, ensuring accurate and timely reporting.
  4. Shift Handover and Briefing: Accurately prepare shift handover and communicate a briefing to the next shift colleagues to ensure a smooth transition of tasks.
  5. Payment Processing: Process payments and forward all related invoices to the Finance Department, and communicate any discrepancies or disputes to ensure timely resolution.
  6. Booking Management: Ensure all hotel and ground transportation proposals materialize and there are zero lost bookings to maintain high client satisfaction.
  7. Commission and Refund Management: Maintain commission and refund records for accounting purposes, ensuring accuracy and compliance.
  8. Customer Complaint Handling: Escalate customer complaints to the Operations Manager to ensure prompt resolution and client satisfaction.
  9. Travel System Security: Safeguard Travel System credentials and database to maintain system security and integrity.
  10. Client Instruction Database: Maintain and update client instructions database and folders to ensure accurate and timely access to client information.
  11. Travel Document Security: Safeguard Trinetium and clients' passports and important documents to maintain confidentiality and security.
  12. Flight Monitoring: Conduct pre-flight and post-flight monitoring to ensure seamless travel experiences for clients.
  13. Technical Issue Reporting: Report all technical issues of the Golden Ring platform to the Technical Support team to ensure prompt resolution and system stability.
  14. Operational Improvement: Influence decisions by providing feasible options to all operational units to enhance and improve performance in order to meet standards set.
  15. Collaboration and Coordination: Coordinate and collaborate with Technical Support, Commercial, and Finance teams to ensure seamless operation and high client satisfaction.
Requirements

For this role, we require:

  • At least 2 years' experience working in a travel environment.
  • Proven experience in a well-known travel agency.
  • Experience in airline ticketing and hotel booking.
  • Degree in Travel (desirable).
  • Travel experience and knowledge of booking systems, LGDS, Amadeus, and loyalty programs in the travel industry.
  • University degree (desirable).
