Key Responsibilities:

  1. Answer telephone calls and record/transmit official information to the top manager, executive director, and employees.
  2. Ensure efficient document flow including incoming and outgoing correspondence, registration, accounting, storage, and archiving of documents.
  3. Perform copying, reproduction, and document preparation tasks on behalf of the top manager/executive director.
  4. Draft letters, requests, and other company-related documents on behalf of the top manager/executive director.
  5. Print service materials and maintain a company database.
  6. Organize meetings and sessions, including logistical support, notifying participants, and preparing agendas.
  7. Organize business trips for employees, including ticket booking and hotel arrangements.
  8. Ensure the provision of office supplies, including stationery and other necessary office materials.
  9. Monitor the proper condition of office equipment and communications infrastructure.
  10. Coordinate and supervise the work of office staff (driver, couriers, cleaner, coffee boy).
  11. Organize catering services for office employees.
  12. Monitor and control the availability of employee social packages such as medical insurance, visas, apartment rent, and parking space rent.

Requirements:

  1. Excellent organizational and multitasking skills.
  2. Strong communication skills and the ability to interact with various stakeholders.
  3. Proficiency in office management and administrative functions.
  4. Ability to handle confidential information with discretion.
