Responsibilities:
  • Maintains the CEO's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Produces documents, briefing papers, reports, and presentations.
  • Flexible in dealing with various tasks (reception, executive assistant, office management).
  • Performs secretarial duties such as answering phone calls, making appointments, typing letters, and taking minutes.
  • Screens phone calls, enquiries, and requests, and handles them when appropriate.
  • Undertakes all executive support work required to help discharge the CEO's duties efficiently and effectively.
  • Organizes and attends meetings, ensuring the CEO is well prepared.
  • Meets and greets all visitors.
  • Accompanies the CEO in meetings and represents the CEO in his absence.
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Conserves the CEO's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Manages internal and external communications to ensure flawless scheduling.
  • Works with the global team based outside of U.A.E. on a daily basis.
  • Prepares materials for conference calls and meetings.
  • Drafts and edits documents to ensure accurate and effective communication.
  • Supports the CEO and team through administration work while adhering to strict confidentiality.
  • Handles communication flows and manages travel arrangements.
  • Manages calendar by arranging meetings according to the CEO's preferences.
  • Assists in the organization of company events.
  • Proactively manages daily work to provide excellent support, consistently re-planning and prioritizing work as required.
  • Organizes seminars and workshops.
  • Maintains confidentiality on all work issues.
